SpectroNova Express
Accounting & VAT

The accounting is already inside

No separate accounting package. No one re-keying invoices on the 28th. Every invoice, payment, deposit, toll and fine posts to a real ledger as it happens — so the VAT return and the profit on each car are there when you ask for them.

Double-entry ledger, chart of accounts, UAE VAT return and P&L by vehicle. Built into the rental system, not bolted on beside it.

One ledger, not two versions of the truth

The month-end argument isn't about accounting. It's about which of two systems to believe.

Rental software plus an accounting package

Nothing to compare
  • The invoice your counter raised is the invoice in the ledger
  • Every posted line traces back to the contract that made it
  • The VAT return reads these balances, not a copy of them

There is one figure, so there is no second one to defend.

Everything the books need, already posted

Not an export that looks like accounting. The accounts themselves, written to as the operation runs.

01

Chart of accounts

Structured for a rental business out of the box. Rename, add and retire accounts as yours needs.

02

Invoices and credit notes

Issued, sent, paid, voided, written off. Each one posts the moment its state changes.

03

Payments and refunds

Allocated against what they actually settle, so a receipt never floats.

04

Deposits

Held as a liability, never booked as income. Released to the renter or applied to what is owed.

05

Tolls and fines

Rebilled to the renter who was driving. Neither one lands in your cost of sales.

06

Expenses and bills

Recorded against the vehicle or the business, with the input tax they carry.

07

VAT return

UAE VAT, computed from posted documents rather than assembled by hand.

08

Closed periods

Lock a filed quarter. Nothing posts into it afterwards, by anyone.

Your VAT return, ready to file

Shaped like the form you file, drawn from the ledger you already run. On the 28th there is nothing to assemble.

  • Output tax from posted documentsEvery invoice and credit note carries its own tax lines. The return sums them at the tax point — the issue date — so a credit note nets off in the period it belongs to.
  • Input tax with the blocked share kept outBills and expenses recover what the rules allow. Tax on a car used personally is blocked, and the return says so rather than quietly claiming it.
  • Deposits never touch itA deposit is the renter’s money, held. It sits in a liability account, out of scope, and no line of the return ever collects tax on it.

Contribution is revenue less maintenance and expenses. Tolls and fines are rebilled to the renter, so they are not the car's cost.

What each car actually earned

The car that looks busy and the car that makes money are not always the same car. This is the same ledger, read per vehicle.

  • Revenue from the invoices each car was on, not from the diary
  • Maintenance, expenses and bills recorded against the plate that incurred them
  • The list re-ranks itself every time something posts

Already years into another package?

Nothing has to be moved for the books to start here.

01

Your history stays where it is

Your current accounting package keeps every year it already holds. Nothing is imported into the ledger that was not written by the rental system.

02

Pick a go-live date

Fleet, rates and open contracts come off your spreadsheet. From that date every invoice, payment and deposit posts here, and the first VAT period starts clean.

03

Your accountant logs in the same day

Their own role, their own reports, no monthly export to wait for. The first quarter they file from it is the one that tells them it holds.

Written for the person who signs it off

Their own login, their own role, and the reports they already ask for. They work inside the system rather than being sent a monthly export.
